No point-in-time restoration of for mailbox items

Microsoft has stated that “point in time restoration of mailbox items is out of scope for the Exchange Online service”. This means that, if a company is subject to an account takeover, ransomware attack or the removal of data by a malicious insider, there is no guarantee that lost data can be recovered.

“Shared responsibility model”

Office 365 operates on what is known as a ‘model for shared responsibility’. This model determines that Microsoft is responsible for its global infrastructure and will ensure that Office 365 remains accessible, but that clients are responsible for access to and the assessment of the data which is stored using the infrastructure made available by Office 365.

Local disruptions and data losses

Despite the fact that Office 365 has a safe global system (it achieved reliability of 99.97 percent in the first quarter of 2019), it frequently suffers local disruptions. These disruptions may result in data losses.

What are the limitations of the built-in security provided by Office 365?

Office 365 has some built-in security options but it also has its limitations.

The Recycle bin is insufficient

Files which have been deleted from the Recycle bin are truly lost after 30 days. The Recycle bin does not often provide its own type of data protection.

Retention policies are resulting in increasing costs for data storage

A company’s retention policy may result in an increase in storage use in applications like OneDrive and SharePoint. This can result in high supplemental costs because you are charged per gigabyte, per month..

Rogue administrators

Furthermore, retention policies do not offer protection from rogue administrators, unless a Retention Lock is being used. However, this function cannot be switched off once it has been activated. This means that you are at risk of your consumption of storage capacity increasing dramatically which will result in additional costs.
